Calendar and meetings

Schedule meetings, invite participants and the customer, and see tasks, invoices, contracts and other dates in one calendar.

The calendar combines meetings and all dated work in the system: task due dates, invoice due dates, contract end dates, lead contact dates, deals, project stages and customer request response deadlines. Each type has its own color.

Creating a new meeting

Click “+ New meeting”, or click an empty day (time slot) in the calendar.

Fill in “Subject *”, “Date *”, “Starts *” and “Ends *”.

Select the “Type”: “At the office”, “At the customer”, “Online” or “Phone”. For an online meeting, enter the “Link (Zoom, Meet, Teams)”; for the others, enter the “Location”.

If needed, select the “Customer”, set the “Reminder” time and tick employees in the “Participants” list.

To send the customer an invitation, tick “Email an invitation to the customer on save (with calendar file)” and enter the email.

Click “Save”.

Managing a meeting

Click a meeting in the calendar — the details window opens.

After the meeting, write what was agreed in the “Outcome (after the meeting)” field and click “✓ Held”.

If the meeting will not take place, click “✕ Cancel”; participants are notified.

To invite the customer later, enter the email in the “Invite the customer (with calendar file)” block and click “Send”.

To add the meeting to your own calendar, click “Add to Outlook / Google (.ics)”.

To change it, click the pencil icon (“Edit”); to delete it, click the trash icon (“Delete”).

Views, filters and drag-and-drop

Use the colored filters at the top to turn types on and off; use “Mine only” to show only your own work.

Switch between the “Month”, “Week”, “Day” and “List” views, and return to the current day with “Today”.

Drag a meeting, task or lead contact date to another day with the mouse; you can also move a meeting to another time and drag its edge to make it longer.

On a phone, press and hold the entry for a moment, then drag it.

Rules

Only meetings with the “scheduled” status, incomplete tasks and lead contact dates can be dragged; you need the edit permission for the related section.

Dates for invoices, contracts, projects and customer requests are changed on their own page — clicking the entry opens that page.

If a participant has another meeting at the same time, a scheduling conflict warning appears, but the meeting is still saved.

Participants are notified when the meeting time changes or the meeting is cancelled.

A seller can only delete meetings they organized; deleting requires the delete permission for the Calendar section.

Email invitations to the customer only work when the email integration is connected.

Your selected filters and view are remembered.
