How SBT CRM works — help center

How to use SBT CRM step by step: sales, orders, inventory, POS, invoices and reports — AZ, EN, RU.

  • Orders — Open customer orders, track their fulfillment stages, and record files and payments. The system handles the due date, stock reservation and credit check automatically.
  • Stock & Warehouse — Manage your item list, stock levels by warehouse, reservations and all stock movements. You can import and export items with Excel.
  • Stock count (inventory) — Count the warehouse, enter quantities manually, with a barcode scanner or via Excel, approve — differences go to the log; the report prints with signature places.
  • Visits — Daily visit plan, GPS check-in, visit outcome, photos and ordering from the phone for field sales reps. Works even without internet.
  • Projects — Split customer projects into stages, assign a team and tasks, and track progress and deadlines.
  • Tasks — Create tasks for yourself and your team, track deadlines and automate recurring work.
  • Documents — Keep all company files in one place. Create contracts, waybills and acts from a template with one click and send them to the customer.
  • Customer Requests — Record customers' questions, inquiries and complaints, assign an owner, track the response deadline (SLA) and record the resolution.
  • Wholesale and retail prices — Retail and wholesale price per product; choose the price type on an order; minimum wholesale quantity and minimum order amount.
  • Product fields, IMEI and serial numbers — Custom product fields from the sector profile (brand, model, excise...) and per-unit tracking: receipt, sale, “who bought it” search.
  • POS (cash register) — Shop sales: barcode search, cash / card / mixed payment, change, receipt, shifts, X and Z reports, returns, IMEI, wholesale prices, 1C. Direct printing on a thermal printer.
  • Contracts — Record service contracts with customers, track their terms and set up automatic creation of recurring invoice drafts.
  • Invoices — Prepare invoices for customers, print them or send them by email, record payments and track overdue debts.
  • Finance: debts, credit limit and risk — See all debts from orders and invoices in one place. Manage credit limits and monitor aging buckets and risk scores.
  • Cost of goods and profit (P&L) — Enter the product purchase price — the system calculates the average cost, records the cost with every sale and shows revenue, cost of goods and gross profit.
  • Leads (Prospects) — Record potential customers (leads), track them through stages and convert them to customers with one click when they are ready.
  • Sales Pipeline — See the entire sales journey, from lead to active customer, in 9 stages on a single board and analyze conversion.
  • Deals — Track sales opportunities with customers by amount, status and owner.
  • Customers — Keep all customers (individuals, legal entities, sole proprietors) in one place and see the full history, company details, credit status and contact persons on their card.
  • Companies — See only legal-entity customers in a separate list, together with headcount, active orders and debt.
  • Calls — Log incoming and outgoing calls with customers so that the communication history with each customer is complete.
  • Emails — Send emails to customers from the CRM, add attachments and track whether sent emails have been opened.
  • Email Templates — Create ready-made templates with variables for frequently sent emails and write emails with them in a few clicks.
  • WhatsApp — Chat with customers via WhatsApp Business directly from the CRM; all messages are saved on the customer card.
  • Campaigns — Send bulk email campaigns and WhatsApp broadcasts to a selected group of customers, contact persons or leads, and track the results.
  • Telegram: customer chats — All chats from your company Telegram bot in one place: write to customers from the CRM, see their orders and requests.
  • Getting started: sign-in and interface — How to create a company account, sign in, reset your password, and work with the menu, top bar, notifications and profile menu.
  • Installing as an app, push notifications and offline mode — How to install the CRM as an app on your phone or computer, enable push notifications, and what works without internet.
  • Two-step sign-in — Protect your account with a code from an Authenticator app on your phone in addition to your password, and use backup codes.
  • Dashboard — The company's key figures, today's and tomorrow's plan, the sales summary and seller results on one page.
  • Calendar and meetings — Schedule meetings, invite participants and the customer, and see tasks, invoices, contracts and other dates in one calendar.
  • Sorting and filtering lists — Sort any list by clicking a column header and filter it like in Excel; clear a search box in one click.
  • Switching from demo to a real account — Turn your demo into a real account with the same data: keep or delete the sample data — your choice.
  • Your company address — The CRM is at crm.sbt.az; each company also has its own address: <company>.crm.sbt.az — the sign-in page shows the company name and logo.
  • Analytics — Analyze sales by region (with a map), segment and product, and compare sellers' KPIs with monthly targets.
  • Reports and scheduled reports — Monthly, quarterly, annual and seller reports on deals, plus automatic delivery of reports to email and channels at a set time.
  • Attendance (check-in/out) — Record check-in and check-out from a phone, turnstile or fingerprint device, and track late arrivals, early departures and absences.
  • Help and “Ask a question” — Read the user guide, save it as a PDF and contact support when something is unclear.
