Finance: debts, credit limit and risk

See all debts from orders and invoices in one place. Manage credit limits and monitor aging buckets and risk scores.

The “💹 Finance” section shows unpaid orders and sent invoices together. The cards at the top show: total debt, overdue debt, number of customers with debt, payments received this month, the debt-to-sales ratio, and at-risk and blocked customers. This module is available on the Standard, Business and Enterprise plans.

Customers with debt

Open the “Debtors” tab.

Search by name, TIN (VÖEN) or phone. To see only overdue debts, tick “Overdue only”.

Click a customer row to open their outstanding documents: amount, paid, balance, due date and days overdue.

To download the list, click “⬆️ Export to Excel”.

Aging and high risk

Open the “Aging (overdue buckets)” tab. Debts are split into these buckets: Not yet due, 1–30, 31–60, 61–90, 91–120 and 120+ days.

For each customer, the limit, total debt, longest delay, risk score and status are shown. Download the table with “⬆️ Export to Excel”.

The “High risk” tab shows customers with a risk score of 50 or higher.

On the “Aging” tab, above the table there is a column chart of debt by overdue bucket, a breakdown of the debt (donut) and a ranking of the customers with the most debt — see at a glance where debt is piling up.

Credit limit and blocking

Open the customer's card and go to the “Credit and debt” panel.

Click “Limit”.

Enter the “Credit limit (AZN)”. If left empty, there is no limit. If you enter 0, the customer can only work with prepayment.

If needed, tick “Block the customer (every order waits for approval)”, enter a “Note” and click “Save”.

Credit rules

Debt consists of the unpaid balance of non-cancelled orders and sent invoices.

When 80% of the limit is used, a yellow warning appears on the order form. This percentage can be changed in Settings → “Sales rules”.

When the debt exceeds the limit or the customer is blocked, a new order is created but placed on credit hold, and Finance is notified. The order does not move into fulfillment until an employee with the “Finance — Edit” permission clicks “✅ Approve on credit” on the order. If the amount is increased after approval, the order goes back on hold.

The customer's status changes automatically: Blocked (blocked or debt exceeds the limit), At risk (debt overdue by more than 60 days), Lost (no orders for 90 days), New (contract, no orders yet), Active. The number of days can be changed in “Sales rules”.

When a customer becomes at risk or blocked, the owner and Finance are notified. The history of status changes is kept on the customer card.

The risk score (0–100) is calculated from: the length of the delay, the share of overdue debt, limit usage and a decline in orders over the last 90 days. A blocked customer gets at least 70 points, and an at-risk customer at least 50.

Changing the limit requires the “Finance — Edit” permission; Excel export requires the “Export” permission.

Debt / sales: current debt is divided by sales over the last N days (N and the target are in Settings → Sales rules). There you also choose when an order counts as a sale: when created or when delivered. The formula and figures are shown under the card; if there were no sales in the period, the ratio is not calculated.

When approving an order over the credit limit, a reason is required — it stays in the order history. This needs the separate “Approve orders over the credit limit” permission. The customer status rules are explained in Settings → Sales rules.

Users with the “Finance” permission also see the debt and risk block on the Dashboard: overdue payments, top 10 debtors, and blocked and at-risk customers.
