Visits

Daily visit plan, GPS check-in, visit outcome, photos and ordering from the phone for field sales reps. Works even without internet.

The “🗺 Visits” section is designed for use on a phone. The visits for the selected day are shown as cards. Each card shows the customer's address, debt and limit, your distance from them, the check-in time and the number of photos. This module is available on the Business and Enterprise plans.

Planning a visit

Select a date or click “Today”.

Click “+ Visit”.

Enter the “Customer”, “Date” and “Subject”.

If the visit is for today, leave “Start the visit now (check-in)” ticked to start right away, and click “Save”.

Check-in, outcome and photos

When you arrive at the customer, click “Check-in” on the card. GPS must be on and the browser must have location permission.

If you like, tick “Automatic check-in”. While the app is open, check-in happens automatically when you approach the customer.

To add a photo, select a type from the “📷 Photo” list: “Shelf photo”, “Product placement”, “Defect report” or “Other”. The camera will open.

After the visit, click “Result”. Fill in “Discussion topic”, “Note”, “Next step”, “Next visit” and “Status”, then click “Save”.

Ordering in the field

Click “Order” on the visit card.

Select an item and enter the quantity, price and discount. For a bonus item, select the gift icon. Free stock and a credit warning appear below the line.

Click “Send order”. If there is no internet, the button is called “Save on phone” and the order is queued.

Rules

Check-in is accepted only within a set radius of the customer's GPS location. The default radius is 200 meters and can be changed in Settings → “Sales rules”. The GPS margin of error is also taken into account.

If the customer has no GPS location, a manual check-in offers to save your current location as the customer's address.

Only the employee making the visit can check in. A visit that has been checked in is not deleted; it gets the “cancelled” status instead.

If a “Next visit” date is selected and the status is “completed”, a new visit is scheduled automatically for that day. A completed visit is recorded in the customer's history.

Each employee sees their own visits, managers see their team's visits, and users with the “Visits — Edit” permission see all visits. A manager can pick an employee from the “All employees” list.

In offline mode, plans, check-ins, outcomes, photos and orders are saved on the phone. They are sent automatically when the internet comes back, and also every minute. Resending does not create duplicates.

A visit card shows “📍 GPS-confirmed” (check-in time, distance, GPS accuracy ±m) or “completed without GPS: reason”. A reason is required to mark a visit completed without a check-in. If GPS accuracy is worse than 100 m, a “weak GPS” warning appears. The card says what the check-in is checked against (customer GPS point and radius). A manager can plan a visit for another employee; “start now” is only for today and yourself.

When working offline, you see the number of unsent records, the last error and the last successful send time; “Send now” retries. In KPI, completed and GPS-confirmed visits are counted separately.

A visit can have a time — the day’s route is ordered by time. A visit that did not take place is closed with the “did not happen” status and a reason. On the card, “now” is the distance from where you are, “at check-in” is the distance measured at check-in. In Settings → Sales rules you can require a result (topic or note) for completed visits.

A planned visit also appears in the Calendar (green, “🗺 Visit”). The “All visits” button lists all visits for a period (past and future) with status and employee filters. Edit a plan that has no check-in yet with “Change plan”: date, time, topic and — for managers — the employee.

To work offline, first open the “Visits” page on your phone while connected to the internet. Customers, items and a 7-day plan are downloaded to the phone. Click “Refresh” to refresh the data.
