Projects
Split customer projects into stages, assign a team and tasks, and track progress and deadlines.
In the “📁 Projects” section, each project is shown as a card. The card shows the status, a progress bar, the number of stages and tasks, overdue tasks and the days left until the deadline. This module is available on the Standard, Business and Enterprise plans.
Creating a new project
Click “+ New project”.
Enter the “Project name” and “Customer”, and select a “Contract” if needed.
Select the “Type” (e.g. audit, tax inspection, accounting restoration, due diligence, consulting). The default types depend on the company’s sector profile and can be changed in Settings. The stages for the selected type appear as a template. You can edit them with “✏️ Change”; each line is one stage.
Fill in the “Start date”, “Due date”, “Project lead”, “Budget (₼)” and “Team”, then click “Save”.
Working with stages and tasks
Open the project and go to the “📋 Stages and tasks” tab.
Change a stage's status: “⏳ Waiting”, “▶️ In progress”, “✅ Completed”. You can set a stage's deadline and move it “Up” or “Down”.
To add a task to a stage, click “+ Task”. Fill in “Title *”, “Assignee”, “Due date” and “Priority”.
To complete a task, tick the box next to it. To move a task to another stage, select “Change stage”.
To add a new stage, type the “New stage name” at the bottom and click “+ Stage”.
Upload the project's files on the “🗂 Documents” tab.
Rules
Statuses: Planning, In progress, On hold, Completed, Cancelled. When the first stage starts, the project automatically moves to “In progress”.
Progress is calculated from completed stages. If there are no stages, it is calculated from tasks.
The project manager and team members are notified when they are added to a project.
The project manager receives a reminder 7 days before the deadline and when the deadline passes.
A seller can only edit projects where they are the manager, creator or a member. Deleting requires the “Projects — Delete” permission.
When a project is deleted, its tasks and documents are not deleted, only detached from the project. When a stage is deleted, its tasks move to the “Tasks without a stage” list.
When you mark a stage “Completed” and it still has open tasks, they are listed and you choose: complete them all, keep the tasks open, or cancel. When you complete a project, the number of open stages and tasks is shown as a warning.
Every project has a manager (if none is chosen — the creator); the manager is added to the team automatically. The contract can only be chosen from the selected customer’s contracts. Each stage can have an owner (they are notified); stage and task due dates should be within the project period — otherwise the system warns and asks for confirmation.
Set up project types and their standard stages yourself in Settings → “Project types and stages” (e.g. advertising, construction, IT). A project needs at least one stage; when you change the type, you are asked before your typed stages are replaced. “Budget” is the project value agreed with the customer and is not added to invoices automatically. All date fields are shown as day.month.year.
To see only your projects, select the “👤 Mine” filter. When you come from a customer card, all of that customer's projects are shown.
