Invoicing software: from draft to paid
An invoice is created as a draft and does not count as debt until it is sent. Numbers are assigned automatically.
- Each line has a product or service, quantity, unit, price and discount, and you choose the VAT rate.
- Print the invoice or save it as a PDF, or email it directly from the system.
- An invoice handed over on paper or via WhatsApp can be marked as sent without email.
- A partial payment sets the status to “Partially paid” and shows the balance due.
- When a sent invoice is edited, the previous version is kept.
Recurring invoices from contracts
For monthly, quarterly or yearly service contracts, an invoice draft can be created automatically for each period. The service period is printed on the invoice and the same period is never invoiced twice. The owner is notified when a draft is created and reminded 30 and 7 days before the contract ends.
Accounts receivable tracking: aging, credit limits and risk
The Finance section shows unpaid orders and sent invoices together: total and overdue debt, number of customers in debt and payments received this month.
- Debt is split into aging buckets: not yet due, 1–30, 31–60, 61–90, 91–120 and over 120 days.
- Each customer gets a risk score from 0 to 100, and high-risk customers have their own tab.
- When the credit limit is exceeded, a new order waits for approval from finance.
- A sent invoice past its due date becomes “Overdue” and the owner receives a reminder.
- The debtor list and the aging table can be exported to Excel.
Documents and profit report
Contracts, sales agreements, waybills and acceptance acts are generated from templates in one click, with the customer's name, tax ID, bank details and amounts filled in from the card. Finished documents can be sent by email or WhatsApp. If you record purchase prices for goods, the profit report shows revenue, cost of goods and gross profit.

Frequently asked questions
What if I find a mistake in an invoice I have already sent?
If there is no payment yet, edit the invoice and the old version is kept. If a payment has been recorded, delete the wrong payment first, or cancel the invoice and create a new one.
Do I have to create monthly invoices by hand?
No. Turn on automatic invoicing in the contract: drafts are created for you, and you only check and send them.
What happens when a customer goes over their credit limit?
The order is created but put on credit hold, and finance is notified. It does not go into fulfilment until an authorised employee approves it and gives a reason.
Do invoices show our company and bank details?
Yes. The seller's and buyer's details are saved on the invoice at the moment it is sent. If the tax ID, IBAN, bank or address is missing, the system warns you and links to where you can fix it.
How can I get an invoice to the customer?
Email it straight from the system, print it or save it as a PDF. If you handed it over on paper or via WhatsApp, mark it as sent without email and the amount is added to the customer's debt.
