Common inventory control problems

Knowing how much is in the warehouse is not enough. You also need to see how much is already set aside for customers, how much can still be sold and which items are about to run out. With several warehouses or shops, transfers must not slip out of the books either.

Stock control: balance, reserved and free quantity

In Stock & Warehouse every item shows three figures: Balance (physical quantity), Reserved (set aside for open orders) and Free (balance minus reserved). The balance cannot be typed in by hand.

  • Receipts, issues and adjustments are written to the movement log, and an adjustment always needs a reason.
  • An issue can never exceed the balance, so stock never goes negative.
  • Transfers between warehouses are recorded under one number, and you see both warehouses' resulting balances before you confirm.
  • When free stock falls below the minimum level, storekeepers and admins get a daily notification.
  • The movement log can be filtered by item, type and date, and shows the balance before and after each movement.

Stock counts with a barcode scanner or Excel

A stock count starts as a draft and does not change balances until it is approved. Enter counted quantities by hand, scan barcodes (each scan adds one) or upload an Excel sheet. In blind count mode the counter cannot see the system figure. After approval the differences go to the log as adjustments, and the count report prints with signature lines for the counter, the storekeeper and the manager.

Product card: units, IMEI and cost of goods

  • Units are picked from a list such as pcs, box, kg, litre or m², and countable units only allow whole quantities.
  • Goods and services are kept apart: services never enter stock and are not counted.
  • For items tracked by IMEI or serial number, a search shows whether each unit is in stock and who it was sold to.
  • A weighted average cost is calculated from purchase prices, and stock value at cost has its own card.

Warehouse linked to orders

Items added to an order are reserved automatically, written off when the order is delivered and released when it is cancelled, with the freed quantity passing to earlier orders that were short. On delivery you see which warehouse each quantity comes from, and partial delivery is supported.

Who it is for and how to start

The inventory module suits wholesalers, distributors, shops and businesses with several warehouses. Upload your items in bulk from Excel with columns for code, name, unit, price, minimum and balance, and the balance is posted to the warehouse you choose. Your 7-day free trial starts when you sign up, with no bank card required. The plans that include the warehouse are listed on the Pricing page.

Frequently asked questions

Can I upload my product list from Excel?

Yes. During import you choose which warehouse the balances go to. The easiest way is to export first and use that file as your template.

Can I track several warehouses separately?

Yes. Each warehouse has its own balance, items move between warehouses with a transfer document, and the log records the other warehouse involved.

Do I need a full stock count to fix one item?

No. For a single item, an adjustment with the difference and a reason is enough. A full count is for checking the whole warehouse.

Does a transfer between warehouses change the cost of goods?

No. Cost is calculated company-wide, so transfers do not affect it.
